There isn't one best AI agent platform — there's a best one for what you're trying to do, and that changes depending on whether you're automating between disconnected tools, building a conversational agent, or trying to get an agent to actually run your business data. This comparison sorts through the real options for a Spanish SME, side by side, on the criteria that actually matter for a decision — not a marketing ranking.
If you already know you want an AI agent and you're past the "what is this" stage, this is the comparison to have open before you commit to one.
We've included ourselves in the table below, on the same criteria as everyone else — no special column, no asterisk.
This guide covers the criteria that actually separate one AI agent platform from another, a straight side-by-side table, when each one is the right call, and what to check before you sign a contract. Reading time: 9 minutes.
In this article:
01 What an AI agent platform needs for an SME: seven criteria
Most "best AI agent platform" lists rank by feature count, which tells you almost nothing about whether a tool fits your business. These are the criteria that actually predict a good or bad fit for an SME:
- What it connects to. Some platforms orchestrate external tools and APIs (Slack, email, calendars, marketing apps). Others reason natively over your business data — your ERP, your CRM — without a custom integration. These solve different problems, and conflating them is where most comparisons go wrong.
- Technical skill required. Node-based flow builders assume someone comfortable with logic and debugging. Conversational, prompt-based platforms assume no one is. Neither is "better" — they're built for different teams.
- Who maintains it. Self-hosted tools are free to run but need someone to own uptime, updates, and broken integrations. Managed platforms cost more but remove that maintenance from your plate entirely.
- Real monthly cost at your volume. Almost every platform advertises a low entry price and scales sharply with usage — task volume, conversation count, or "credits." The entry price is rarely the number that matters in month six.
- Where the ceiling is. Every platform is excellent at something specific and mediocre at everything adjacent to it. The honest question isn't "is this a good platform," it's "is this a good platform for this specific job."
- Permissions and traceability. Check which data the agent can read or change, when a person must approve an action and whether the team can reconstruct what happened.
- Data handling and support. Confirm where information is processed, what conditions apply and whether documentation and support fit the language and working hours of your team.
02 Platform comparison
Methodology and scope. Editorial structure reviewed on 30 September 2026. This is a decision framework, not a report of hands-on product tests or a verification of current plan allowances. Compare the same seven criteria: connections, technical skill, maintenance, cost, functional limits, permissions and traceability, and data handling and support. The table describes situations to evaluate; confirm the required features and conditions with each provider and test your shortlisted workflow before deciding. The alphabetical order is not a ranking.
| Platform | Best for evaluation | Skills to plan for | Maintenance to confirm | Free/paid conditions to verify | Not for you if |
| Binhex Cloud (Emma AI, our own platform) | Work centred on ERP records | Confirm setup and administration needs | Agree who owns configuration, integrations and review | Verify the current plan, AI usage and any free-tier limits | You need an external-app workflow that has not been demonstrated |
| Lindy | A bounded administrative workflow | Confirm the skills needed for the chosen task | Identify who maintains connections and exception handling | Verify subscription, usage allowance and extra charges | The pilot cannot cover your shared data or approval needs |
| Make | A visible sequence across several apps | Ability to define, debug and maintain the workflow | Name an owner for mappings, errors and connected APIs | Verify the billing unit, included usage and overage conditions | Nobody can maintain the logic or required connections |
| Microsoft Copilot Studio | A workflow centred on your Microsoft environment | Confirm licence, connector and governance setup needs | Agree responsibilities across the platform and your organisation | Verify required licences and separately billed usage | Required access or external actions cannot be demonstrated |
| n8n | Coordinating tools and APIs in an explicit workflow | Workflow logic, credentials, debugging and maintenance | Your team or an agreed provider must own the running workflow | Compare hosting, model usage, maintenance and any subscription | You expect the workflow to maintain itself |
| Zapier Agents | Work across applications your team already uses | Confirm the skills needed for the actual actions and exceptions | Name an owner for connections, review and failed runs | Verify the agent plan, included usage and free-tier conditions | A required app, permission or exception path is unsupported in the pilot |
Binhex Cloud (Emma AI)
Binhex Cloud is the platform behind this article. Best for consideration when the problem centres on records in your ERP; check the required actions and permissions in your installation. It is not for you if you need a general-purpose orchestrator for unrelated external apps and cannot confirm that scope.
Lindy
Consider Lindy for a clearly bounded administrative workflow such as inbox handling or scheduling. Best for a shortlist centred on that specific task, after checking the required apps and review controls. It is not for you if the pilot cannot support the shared data, permissions or coordination your team needs.
Make
Consider Make when the work is a visible sequence across several applications. Best for a team prepared to define and maintain the steps, mappings and failure handling. It is not for you if nobody will own that logic or the required connection is unverified.
Microsoft Copilot Studio
Consider Microsoft Copilot Studio when the workflow depends heavily on your Microsoft environment. Best for a shortlist where existing identity, applications and governance are central, after checking the licences and connectors required. It is not for you if the needed access or external workflow cannot be demonstrated within your budget and permissions.
n8n
Consider n8n when you need to coordinate tools and APIs through an explicit workflow. Best for a team with someone responsible for the logic, credentials, errors and maintenance. It is not for you if you expect the workflow to maintain itself or to understand your ERP without a defined connection.
Zapier Agents
Consider Zapier Agents when you want to coordinate work across the applications your team already uses. Best for a shortlist where the required actions can be demonstrated with a simple, reviewable flow. It is not for you if a needed app, permission or exception path cannot be supported in the pilot.
The best platform for building custom agents
The best fit is the one that lets your team define the tools, data access, approval rules and failure handling needed for the specific job. Start with a representative workflow and compare how much custom work each option requires. If you need to connect several APIs, include ownership of the integrations in the decision; if the work lives inside your ERP, check record-level permissions and actions before choosing a separate orchestration layer.
Main conversational platforms
A conversational interface is only the entry point. Compare the information it can retrieve, the actions it may propose or execute, the channels your team needs and how it hands a case to a person. Use the platform cards above to form a shortlist, then ask each provider to demonstrate the same scenario with the same permission boundaries. Fluency in a demo is not evidence that the underlying workflow is supported.
03 Which platform to choose for your situation
Choose n8n or Make if most of what you're automating lives outside a single system — syncing marketing tools, routing notifications, connecting niche APIs — and you have (or want) someone technical owning the logic. We've broken down what n8n specifically is and isn't good for here.
Choose Zapier Agents if your team is non-technical, your automation needs are genuinely simple (linear, few steps), and you're already living inside Zapier's app ecosystem.
Choose Microsoft Copilot Studio if your company already runs on Microsoft 365 and you want an agent that plugs into Outlook, Teams, and SharePoint without adding a new vendor relationship.
Choose Lindy if you're a solo operator or very small team looking to offload personal admin work — inbox triage, scheduling, simple follow-ups — rather than company-wide processes.
Choose an ERP-native agent (like Emma AI inside Binhex Cloud) if the actual bottleneck is business data: someone constantly has to look up an invoice, check stock, or pull a sales number for someone else to use. This is a different category from the tools above — it's not orchestrating other apps, it's reasoning directly over the system your business already runs on, with the permissions that already exist.
Most SMEs that use more than one AI tool end up pairing an external-orchestration platform (n8n, Zapier, Make) with an ERP-native agent for anything that touches business data directly — because the two solve genuinely different problems, not competing versions of the same one.
Your situation | Shortlist focus | Check before choosing |
Work across several external apps | Workflow orchestration | Connections, exception handling and maintenance owner |
A Microsoft-centred environment | Fit with existing identity and applications | Licences, permissions and required connectors |
Personal administrative work | A bounded, repeatable task | Scope, review and cost at actual usage |
Work on ERP records | Record-aware workflow | Read/write permissions, approvals and traceability |

What to Check Before You Sign

A platform can look great in a demo and still be the wrong fit six months in. Before committing:
- Ask what happens at your real volume, not the demo volume. Get the actual price at 3x your current expected usage — most "affordable" entry tiers stop being affordable well before you'd guess.
- Ask who owns maintenance when something breaks. If a connected app changes its API and a flow silently stops working, is that on you, or on the vendor?
- Ask what data the platform can see, and under what permissions. A platform that can act on your business data should respect the same access rules your team already works under — not a separate, looser set of permissions built for convenience.
- Ask what's actually included versus what needs a paid add-on. "AI agents included" sometimes means one narrow feature, with the rest gated behind usage-based credits or a higher tier.
- Ask for a real reference from a company your size, not an enterprise logo. A platform built for a 5,000-person company solves different problems than one built for a 15-person team.
None of these questions are adversarial — a platform worth using will answer all five without hesitation.
What no platform solves on its own
No platform defines the business problem, cleans every source or decides who should approve an exception for you. Your team still needs to name a process owner, keep the relevant data current and set the boundaries for actions and customer communication. Judge the pilot on correct results, useful escalation and maintainability, not just on how many steps appear automated.

Frequently asked questions
There isn't a single best one — the right platform depends on what you're automating. n8n and Make lead for orchestrating external tools; Zapier Agents and Lindy lead for simple, non-technical automation; Microsoft Copilot Studio leads inside a Microsoft 365 environment; and an ERP-native agent leads when the task is really about your business data — sales, invoices, inventory, customers.
The main difference is what each platform connects to and who maintains it. Orchestration platforms (n8n, Make, Zapier) move data between separate external tools and usually need someone to build and maintain the logic. Conversational platforms (Lindy, Copilot Studio) trade some flexibility for ease of use. ERP-native agents skip external integration entirely and reason directly over the business data already inside your system, under its existing permissions.
