Customers

For customers with a trial or subscribed Odoo database on Binhex Cloud. Everything you can do from your portal: manage your database, connect your own domain, run AI agents and keep your subscription up to date.

1. Your database list


Open Databases from your portal home page, or go to /my/containers. Each row shows the name, the creation date and a status badge:

You can sort the list by date, name or status, and filter it by All, Creating, Active or Inactive. Depending on your plan, each row can also show your storage usage and your AI agents and credits.

Click a row to open the database's page.

2. Managing your database


All the day-to-day actions are in the Database management tab of your database's page.

The neutralized clone

When you clone a database, you can mark the copy as neutralized. A neutralized clone has outgoing email turned off, which is what you want for a test environment: the copy never sends real invoices or notifications to your customers.

If the original database is stopped, it's started automatically so it can be copied. The clone gets its own address.


Configure a pending database

If you bought or were assigned a database without a hostname, it shows as Pending. Click Configure and choose:

  1. Hostname. Availability is checked as you type.
  2. Region, the location where your data will be hosted.
  3. Language.

When you confirm, the full setup starts.

3. Double confirmation


Destroy, Restore and Database backup ask for two proofs: that it's really you, and that you mean it.

  1. Click Destroy, Restore or Database backup.
  2. Type I ACCEPT in the dialog.
  3. You receive a 4-digit code by email.
  4. Enter the code. The action runs as soon as the code is validated.
  • Each code works only once: a second action needs a new code.
  • If you mistype the code, nothing happens and you can try again.

Destroying can't be undone. There's no recycle bin: the database, all its data and its mailbox are deleted. Download a backup before you destroy a database.

4. Add-on repositories


Requires: the Add repository feature in your plan. Without it, the tab doesn't appear.

There are two tabs: Public repositories and Private repositories. Private repositories are cloned over SSH using a deploy key.


Add a repository

  1. Paste the repository URL.
  2. Load its branches. The platform reads the repository and shows a branch selector.
  3. Choose the branch and confirm.

The repository shows Configuring while it's added to your database, then Ready. You get an email when it's done.


Update and delete

Deleting fails on purpose if any add-on from the repository is installed in your database. You'll see "One off the addons on the repository are installed" and the repository switches to Error. Uninstall those modules in Odoo first, then try again.

5. Custom domain


You can use your own domain for your database instead of the Binhex Cloud address.

Requires: the Add virtual host feature in your plan.

Before you start: your domain's DNS must already point to the platform. If it doesn't, the HTTPS certificate can't be issued. Contact support if you need the DNS details.


Steps

  1. Open the Virtual Host tab and enter your domain.
  2. The platform checks that the domain is valid and not already in use.
  3. When you confirm, your domain is set up and an HTTPS certificate is issued for it.
  4. You receive a virtual host configured email.

To remove your domain, delete it from the same tab. You'll receive a virtual host removed email.

6. Pull requests


A development feature: it lets you try out, in your database, a change that's still under review on GitHub.

Requires: the Add pull request feature in your plan.

Two statuses you shouldn't confuse

The platform refreshes the GitHub status regularly on its own.

A pull request is code that hasn't been reviewed or released yet. Don't deploy it to the database you use every day without agreeing it first with whoever proposed it.

7. Updates


The Updates tab shows when and by whom your database was updated, and has a button to force an update.

  • What's updated: Odoo itself, themes and OCA repositories, followed by your database.
  • What to expect: your database shows Updating and isn't available while the update runs. You get an email when it finishes.
  • If it fails: the update shows Error with the number of errors, and support can review it.


Auto-update

Turn on Auto-update and the platform updates your database regularly, with nothing to do on your side. Recommended for databases without delicate custom developments.

8. Capacity and alerts


When monitoring is available for your database, your portal shows its memory and storage usage. You also receive automatic email alerts:

Don't ignore the first alert. When storage runs out, your database may stop working properly. Contact support to upgrade your plan.

9. AI agents and credits


Requires: your database must be Running.


Credits

The AI Credits block in your portal shows your balance by type:

To buy more, go to the online store. The cart asks which database the credits should go to.


Turn agents on and off

  1. On your database's page, open the AI Agents section.
  2. Tick the agents you want to turn on and untick the ones you want to remove.
  3. Confirm.

Activation isn't instant: whatever the agent depends on is set up first, then the agent itself, and finally the Copilot and AI modules are installed in your database.


Update an agent

When a new version of an agent you're using is available, you'll see the option to update it.

You can't update an agent while the database is stopped. Start it first. If you try anyway, the portal shows a warning on the page.


When credits run out

Your agents switch to No Tokens and turn off on their own, and you receive a notification. They work again as soon as you top up your credits.

If you have an overdue invoice

The platform follows a series of reminder steps. This is what you'll notice, in order:

  1. Reminder emails.
  2. Your database is stopped and you can't start it. When you try, you'll see: "This database cannot be started: invoice [number] for its subscription is unpaid. It will start again automatically as soon as the invoice is paid."
  3. If the invoice remains unpaid, the database may eventually be permanently deleted, depending on your terms.

As soon as the payment is registered, your database starts again automatically. You don't need to ask for anything. The process moves forward at most one step per day, so there's time to react.

One subscription can cover several databases. An unpaid invoice affects every database that depends on it.

11. Support access


You decide who from Binhex Cloud or from your partner can access your database. When a technician needs access, you receive a request and choose what to do with it:

What approving actually grants: the technician can sign in to your Odoo database with their company credentials. If the request included it, they also get SSH access to your database's server.

Every access has an expiry date and is removed automatically when it expires. It can never last longer than your database itself.

12. Your database's email


Your database has its own email account, used as the sender address for its emails. From your portal you can view it and change its password.

There's a sending limit. If your database goes over it, the account is disabled and you receive a mail limit exceeded notice. Contact support to restore it.

13. Why can't I see a button?

General rule: while the platform is working on your database (Configuring or Updating), almost every button disappears. That's intentional, so two operations never run on the same database at the same time.

So support can help without back-and-forth, always include:

  1. Your database's hostname.
  2. The action you were trying to do.
  3. The approximate time.
  4. The exact message you saw.
