As projects multiplied, controlling staff time, expenses, materials and tools across several sites became harder to manage without a system connecting all of it.

Managing costs and time on construction sites has always been difficult, especially when it comes to people. For Refripeca, the challenges were:
Staff attendance and hours disconnected from projects
Recording attendance is only useful if it is tied to the project and task each person is working on. Without that link, understanding where time and expenses were going on each site required manual effort.
No precise tracking of tools and materials
Knowing where each tool is, who has it, and which materials have been delivered to which site is a constant challenge in construction. Without a system, losses and unnecessary purchases are hard to avoid.
Budgets built and re-entered manually
Construction budgets are usually prepared in BC3 format. Re-entering them by hand into the sales and project cycle costs time and increases the risk of errors.

The implementation was structured in four areas:
1. Attendance Control and Timesheets Connected to Projects
Time tracking is now directly linked to project and task management. With one click, employees can see which project they are working on, which task they are performing and how much time they are spending on it. That makes it much easier to control expenses and working time, and improves the company’s efficiency and productivity.
2. Material Deliveries and Tool Tracking (GIB)
Through the fixed asset management module (GIB), natively connected to Inventory, Contacts, Projects and Employees, Refripeca can locate any tool by site or by employee. It can also check at any moment where consumables and storable items are, and keep full control over material deliveries.
3. BC3 Import into the Sales Cycle
Construction budgets in BC3 format are uploaded to the platform, and the budget is generated automatically within the sales cycle. This saves significant time and centralizes budgeting in the same system as the rest of the operation.
4. Projects, Sales and Invoicing in a Single System
The project planner, sales and invoicing now work together with employee records and the company website, giving the team a unified view of each project from budget to billing.
